Position Description :

The Program Assistant is responsible for following policies and guidelines that will maintain compliance with agency and program administrative operations. The Program Assistant will provide member support, develop and manage effective administrative systems, and coordinate administrative and financial functions with Austin staff, serving to further the goals and objectives of the AYW Conservation Corps.

Job Duties :
  1. Provide support to corps members and the public:
    1. Answer corps member inquiries promptly;
    2. Provide assistance with member benefits, (i.e. food stamps, bus passes, education awards, service verifications, insurance enrollment);
    3. Answer phones and provide front desk assistance;
    4. Track and disperse member stipends as needed or requested;
  2. Maintain compliance with AmeriCorps grants;
    1. Accurately track member service hours;
    2. Conduct and maintain national Service Criminal History Checks;
    3. Maintain AmeriCorps member files and documents and perform periodic self-audits of files;
    4. Use eGrants portal for enrolling and exiting members;
    5. Assist with AmeriCorps quarterly reporting;
    6. Interface with administrative staff of AmeriCorps granting agencies;
    7. Track ongoing schedules AmeriCorps activities and ensure required documentation is completed (i.e. Member evaluations);
  3. Generate special reports, develop and implement new systems as required
    1. Routinely update participant and performance outcome databases;
    2. Proactively seek out opportunities to improve systems;
  4. Support member development initiatives;
    1. Participate in orientation, events, graduation, educational activities, etc.;
    2. Provide training opportunities for Life After AmeriCorps skills;
  5. Assist Recruitment and Outreach Coordinator with Baton Rouge operating site’s recruitment efforts;
    1. Contact and build relationships with local recruitment resources;
    2. Promote a culture of equity, inclusion, and diversity in recruitment efforts;
    3. Interview applicants and provide feedback;
    4. Connect incoming corps members to community resources;
  6. Serve as primary contact with Headquarters Administrative Staff and Provide general office support;
    1. Order office supplies;
    2. Process receipts and expense reports using Certify software and generate electronic requests for payment;
    3. Request marketing materials;
    4. Generate payroll summaries semi-monthly;
    5. Participate in monthly administrative calls;
    6. Train and become a driver for the program.
Requirements :

High school diploma or GED; 1+ years working with youth or experience with an AmeriCorps program.
